COPPA Parental Notice

This notice is provided to parents and guardians in compliance with the Children's Online Privacy Protection Act (COPPA), 16 CFR Part 312, as amended by the 2024 COPPA Rule updates (effective April 2025). It describes how ProTeach Home Learning collects, uses, and protects your child's personal information.

This page is designed to give you a clear, parent-friendly explanation of exactly what information we collect about your child, why we collect it, and how you can control it. Your child's privacy is our top priority.

1. What Data We Collect from Children
ProTeach collects only the minimum information necessary to deliver our educational service. The data we collect about children enrolled in ProTeach includes:
Child's First Name
Used to personalize the Student Portal and lessons. We do not collect last names, full names, or nicknames of children.
Grade Level
Used to deliver grade-appropriate lesson content, from PreK through 12th Grade (PreK–12). This ensures your child receives materials at the correct level.
Learning Progress & Activity Data
Lesson completion status, quiz scores, time spent on activities, and game performance. This data helps track your child's learning journey and is visible to you in the Parent Portal.
Game Scores & Achievements
Scores from our 20+ educational games, streak data, badges earned, and XP (experience points). These motivate learning and are visible in the Student Portal.
4-Letter PIN Code
An auto-generated PIN used by your child to access the Student Portal. This is not a password and is visible to you in the Parent Portal.
What We Do NOT Collect from Children
- Email addresses, phone numbers, or contact information
- Photos, videos, or voice recordings
- Full names, last names, or birthdates
- Physical addresses or geolocation data
- Social media accounts or external platform identifiers
The Student Portal does not include social media features, public profiles, or any mechanism that would allow a child under 13 to share personal information publicly or with users outside their family account. We do not serve any advertising to children.
2. How We Use This Data
Your child's data is used exclusively for educational purposes:
- Educational Content Delivery: Generating and displaying weekly lesson plans, quizzes, and activities tailored to your child's grade level and selected subjects.
- Progress Tracking: Tracking lesson completion, quiz scores, and learning milestones so that both you (the parent) and your child's Teacher Companion can monitor academic progress.
- AI-Assisted Lesson Planning: Lexie, your child's Teacher Companion, is a real human teacher who uses AI-assisted tools (server-side only) to assist with generating lesson plan frameworks. Only your child's grade level and educational context are shared with the AI service — all personally identifiable information is stripped before processing.
- Engagement Features: Powering educational games, streaks, badges, and achievements that make learning engaging and fun.
We do not use your child's data for advertising, marketing, behavioral profiling, or any commercial purpose beyond delivering the educational service. We do not share your child's data with third parties for marketing purposes, and we never will.
3. Who Has Access
Access to your child's data is strictly limited to the following:
Parents & Guardians
You have full visibility into all of your child's data through the Parent Portal, including lesson progress, game scores, and activity history.
Assigned Teacher Companion
Your child's dedicated Teacher Companion can view the child's first name, grade level, selected subjects, and learning progress. This information is necessary for them to create appropriate weekly lesson plans. Teacher Companions are bound by confidentiality obligations.
ProTeach Administration
A limited number of authorized ProTeach administrators have access to user data for the purposes of platform operation, technical support, and legal compliance. Admin access is protected by multi-factor authentication.
No other individuals or organizations have access to your child's personal information.
4. Third-Party Service Providers
We share limited data with the following service providers, who are contractually bound to use it only to provide services on our behalf:
Google Firebase — Data Storage
Child profile data and learning records are stored in Firebase Firestore, operated by Google LLC. Firebase processes data under Google's data processing addendum. Data is stored on servers in the United States.
ThynkQ AI — AI-Assisted Lesson Planning
Lexie, your child's Teacher Companion, is a real human teacher who uses AI-assisted tools (server-side only) to generate lesson plan frameworks. All AI-generated content is reviewed and approved by Lexie before delivery. Our AI infrastructure operates under strict data processing agreements that prohibit the use of children's data for AI model training. Only the child's grade level and educational context are shared — all personally identifiable information is stripped before processing.
Stripe — Payment Processing (Parent Data Only)
Stripe processes payment information provided by parents. Stripe does not receive or process any child data. Payment processing involves only the parent's billing information.
Vercel — Hosting
Our application is hosted on Vercel's edge network. Vercel may process HTTP request metadata (IP addresses, user agents) for performance and security. Vercel does not have access to stored child profile data.
We do not sell, rent, or trade children's personal information to any third party, and we never will.
5. Verifiable Parental Consent
In compliance with COPPA, we obtain verifiable parental consent before collecting any personal information from children under 13:
- Method: We use credit card verification during the subscription process as our method of verifiable parental consent, as approved by the FTC under COPPA (16 CFR 312.5(b)(2)).
- Payment Processor: Credit card verification is handled securely by Stripe, Inc. (PCI-DSS Level 1 compliant). We never see or store full credit card numbers.
- Scope of Consent: By completing the subscription process and providing your child's profile information during onboarding, you consent to the collection and use of your child's data as described in this notice.
- Parent-Only Account Creation: Only adults (18+) can create ProTeach accounts. Children cannot create accounts or provide personal information independently. All child profiles are created by the parent or guardian.
6. How Parents Can Review & Delete Data
As a parent or guardian, you have full control over your child's data:
- Review Data: Log in to the Parent Portal to view all data associated with your child, including their profile, learning progress, game scores, and activity history.
- Update Data: Edit your child's profile information (name, grade level, subjects) directly through the Parent Portal at any time.
- Request Data Export: Email us at privacy@proteachhomelearning.com with the subject “Data Export Request” to receive a copy of all data we hold about your child in a machine-readable format.
- Request Deletion: Email us at privacy@proteachhomelearning.com with the subject “Delete Child Data” to request deletion of your child's personal information. We will process deletion requests within 30 days of identity verification.
- Withdraw Consent: You may withdraw your consent for us to collect your child's data at any time by contacting us. Note that withdrawal of consent will result in the inability to use child-specific features of the service, as we cannot deliver personalized lessons without basic profile data.
We will verify your identity (as the account-holding parent) before processing any data review, export, or deletion request.
7. Data Retention & Deletion
We retain your child's personal information only as long as necessary to provide our educational service:
Active Subscription
All child data is retained and actively maintained while your subscription is active.
After Cancellation — 30-Day Export Window
After you cancel your subscription, you have 30 days to export your child's learning data (lesson history, progress records, game scores) through the portal.
After 30 Days — Data Deletion
Child profile data (name, grade level) and session interaction data are scheduled for deletion 30 days after account closure. Academic records (transcripts, completion certificates) are retained in anonymized form for compliance purposes.
Consent Records
Records of parental consent are retained for 3 years beyond data deletion for regulatory audit purposes, as required by COPPA.
If you request deletion of your child's data, we will process it within 30 days of identity verification, regardless of your subscription status. To submit a request, email privacy@proteachhomelearning.com.
